The Department we are looking for is divided into 5 teams. For the director and those teams we are looking for a secretary.

Tasks and responsibilities:

This level of organizational support involves facilitating positive working relationships in the delivery of administrative tasks and services linked to the department. In this role it is expected that you use your own initiative, make decisions, and think in solutions. Furthermore, you have outstanding organizational skills, demonstrate flexibility, accuracy and sharpness, also in stressful situations.  

  • Provide fully support to the Director regarding calendar management.
  • Plan meetings for the MT and the department.
  • Support preparing the agenda and write minutes for MT meetings.
  • Liaise with other managing assistance to provide support.
  • Centralise information relevant for the department and applies efficiencies (inc. SharePoint etc).
  • Support MT members in onboarding new colleagues (onboarding meetings, badges, ICT etc);
  • Managing and monitoring the employees administration in a complex ICT-system; 
  • Assist with organizing business trips for MT members (tickets, hotel, visa etc); 
  • Process travel declaration costs, payment of invoices;
  • Provide support and organisation for team building and offsites;
  • Provide support for national and international events;
  • Planning, organizing and monitoring appointments for external meetings; 
  • Receive international clients at the office;
  • Be discrete with regard to confidential information.

Dit verwachten we van jou

  • You have relevant work experience within a financial environment.
  • Excellent knowledge (spoken and written) English (Dutch is a preference).
  • Extensive knowledge of Outlook, Word, Excel and PowerPoint.
  • Experience with complex administrative systems.
  • Copes well with deadlines, is pro-active and a good team player.
  • Hands ‘on mentality.
  • Is used to working independently and able to set priorities.
  • Has experience in communicating and working with various cultures.
